How to Compare Commercial Cleaning Quotes

Price matters, but only after you know the quotes cover the same rooms, frequencies, exclusions and service assumptions.

Compare scope before comparing price

Two cleaning quotes can look similar while covering very different work. One may include washroom consumables, internal glass or periodic deep cleaning; another may not. A lower number is not automatically a better price if the scope is materially smaller.

Before comparing totals, place the included rooms, visit frequency and main tasks side by side. If those are not clear, ask for clarification.

Check what is recurring and what is optional

Recurring contract work should be easy to distinguish from one-off or periodic services. Window cleaning, carpet extraction, high-level work and post-construction cleaning are common examples of tasks that may be quoted separately.

Knowing this protects the budget from surprises and makes it easier to add optional work later.

Look at the operating assumptions

A quote may depend on access at a particular time, client-supplied consumables or a minimum visit duration. None of those assumptions are inherently wrong, but they should be visible before the service starts.

The same applies to keys, alarm procedures, parking, waste handling and any areas with restricted access.

Ask how changes are handled

Buildings change. Headcount grows, rooms are repurposed and service frequency may need to move up or down. A good arrangement gives both sides a simple way to change the written scope and price when the work genuinely changes.

Avoid relying on permanent ‘small extras’ that were never added to the agreement. They create confusion for everyone.

The best quote is the one you can understand

A commercial cleaning quote should help you make a decision without decoding vague language. The winning combination is usually a clear scope, realistic frequency, transparent exclusions and a price that matches the actual workload.

If you can explain the service to a colleague after reading the quote once, the document is doing its job.
